Billing and Refund

This Refund and Billing Policy explains how billing, renewals, cancellations, refunds, and payment-related issues are handled for OurHOA.Vote memberships, plans, and paid Services.

By purchasing or maintaining a paid OurHOA.Vote plan, you agree to this Refund and Billing Policy, together with the OurHOA.Vote Terms and Conditions.

1. Paid Services

OurHOA.Vote offers paid access to certain features, which may include HOA setup, member voting tools, board/admin tools, notices, reporting, governance workflows, dashboard access, and other plan-based functionality.

Available features, usage limits, and access levels may vary by plan and may change from time to time on a prospective basis.

2. Billing Cycle

Paid plans may be offered on a monthly, annual, one-time, or other billing basis as shown at the time of purchase.

For plans paid through crypto or other supported wallet-based payment methods, payment is made by the user through the checkout flow then in effect.

3. Renewal Terms

Unless expressly stated otherwise at checkout, crypto-paid memberships do not automatically renew through stored payment credentials.

If your plan requires manual renewal, you must submit payment for each new billing period to keep paid access active.

If OurHOA.Vote later offers an auto-renewing payment method through a separate supported provider, that auto-renew feature will apply only where clearly presented and affirmatively selected by the user at checkout.

4. Plan Lapse for Nonpayment

If a renewal payment is not completed by the end of the current billing period, your paid plan may expire, pause, or revert to a lower-access or inactive state, depending on the plan structure then in effect.

Nonpayment at the end of a billing period will normally cause the paid plan to lapse without any further charge unless a clearly disclosed auto-renew method applies.

5. Cancellation

If your plan renews manually, you may simply choose not to renew at the end of the current billing period.

You may also request cancellation or closure of a paid plan through your account settings, if available, or by contacting support@ourhoa.vote.

Cancellation prevents future paid access after the current paid term ends, but it does not create a refund for the active billing period unless required by law or expressly approved by OurHOA.Vote.

6. Refund Policy

Except where required by law, fees are generally non-refundable once a billing period begins.

Unless we state otherwise in writing:

  • we do not provide partial-period refunds,
  • we do not provide prorated refunds for unused time,
  • we do not provide refunds because you chose not to use the service after payment,
  • we do not provide refunds based solely on reduced member participation, fewer votes, changed HOA plans, or preference changes.

7. Limited Exceptions

At our sole discretion, we may review refund requests in limited circumstances such as:

  • duplicate payments,
  • clear billing errors caused by us,
  • accidental duplicate purchases of the same plan,
  • inability to access a paid feature due to a verified platform-side failure that we are unable to correct within a reasonable period,
  • other situations where applicable law requires a refund.

Submitting a refund request does not guarantee approval.

8. Promotions and Special Offers

If we offer promotional pricing, discounts, coupons, trial periods, or introductory offers:

  • the offer applies only as stated at the time of purchase,
  • eligibility may be limited,
  • promotions may be changed or withdrawn at any time, subject to applicable law.

9. Failed or Incomplete Payments

If a payment is not completed, is declined, fails on the payment rail, is underpaid, is sent on the wrong network, or is not received by the applicable renewal date, OurHOA.Vote may:

  • suspend or limit access to paid features,
  • pause dashboard or voting access,
  • downgrade the affected account,
  • cancel or lapse the affected paid plan if payment remains unresolved.

You remain responsible for ensuring that the correct payment is submitted on time and on the correct network if you want uninterrupted paid access.

10. Chargebacks and Payment Disputes

If you believe a payment issue occurred in error, contact support@ourhoa.vote first so we can review it.

If a payment dispute, reversal, or chargeback is initiated through a third-party processor or related provider, we reserve the right to suspend or terminate affected access while the matter is under review.

11. Taxes

Fees may exclude applicable taxes, duties, levies, or similar governmental charges unless otherwise stated at checkout.

You are responsible for paying any applicable taxes associated with your purchase, except taxes based on our net income.

12. Price Changes

We may change pricing, feature access, plan structures, usage limits, or billing terms prospectively.

Any updated pricing or plan changes will apply to future purchases or future renewal periods, not to already completed billing periods.

13. Upgrades and Downgrades

If plan upgrades or downgrades are offered:

  • upgrades may take effect immediately or at the next billing cycle, depending on the checkout flow,
  • downgrades may take effect immediately or at the end of the current paid term,
  • changing plans may affect available features, voting limits, admin tools, storage, reports, or related HOA functionality.

Unless expressly stated otherwise, plan changes do not create automatic refunds for prior payments already made.

14. Account Access After Expiration or Nonpayment

If your paid plan ends because of non-renewal, cancellation, or incomplete payment, your access to paid features may be limited or removed.

We may retain certain account, billing, support, governance, or audit information as reasonably necessary for legal, operational, security, backup, fraud-prevention, dispute-resolution, or compliance purposes.

15. Third-Party Payment Providers and Wallet Tools

Some payments may be processed through third-party providers, wallet tools, or blockchain infrastructure.

We are not responsible for third-party payment outages, wallet issues, chain congestion, gas fees, failed broadcasts, delayed confirmations, or other third-party processing issues. Your use of those third-party services is governed by their own terms and policies.

16. No Refund for External Network Costs

If any feature involves blockchain, wallet, gas, minting, transfer, or similar external infrastructure costs, those third-party network or transaction costs are generally non-refundable by OurHOA.Vote, unless required by law or caused solely by our confirmed billing error.
